1. Who we are and what this policy covers
This Privacy Policy is issued by RA Imaging (“RA Imaging,” “we,” “us” or “our”), a production studio located at 2846 W North Ave #2b, Chicago, IL 60647, United States. We are the controller of the personal information described in this policy.
This policy applies to personal information we collect:
- on this website, ra-imaging.com, including its subdomains (the “Site”);
- through our business communications with clients, prospective clients, crew, vendors and other contacts, by email, phone, video call or in person;
- through our advertising, social media accounts and audience tools on third-party platforms, including Meta (Facebook and Instagram), Google and YouTube, LinkedIn, TikTok and X.
It does not apply to websites, platforms or services operated by others, even where we link to them or have an account with them. Their own privacy policies govern what they collect.
By using the Site or providing information to us, you acknowledge that we handle personal information as described in this policy. If you do not agree, please do not use the Site or provide information to us.
2. Information we collect
Information you give us
- Contact and inquiry forms. Your first and last name, email address, the type of project you are asking about and any details you write in the message field. Our AI capabilities inquiry form may also ask for your company, job title and the tools you use.
- Resource and newsletter signups. Your first name and email address when you request a guide, playbook or other resource, or subscribe to updates.
- Client and vendor relationships. Business contact details, billing and payment details, contract and project information, and the content of our correspondence. If you are talent or crew on a production, we may also hold release forms, agreements and tax or payment paperwork you provide.
- Proposal pages. Some project proposals are shared on password-protected pages of the Site. We record that a correct password was entered so the page stays unlocked in your browser.
- Anything else you choose to send us, such as files, footage, feedback or testimonials.
Information collected automatically
- Usage and device data. Pages viewed, links and buttons clicked, referring site, approximate location derived from IP address, browser and device type, operating system, screen size and the date and time of your visit. Google Analytics collects most of this on our behalf; see Section 7.
- Server and security logs. IP address, request details and timestamps kept by our hosting provider for security, debugging and abuse prevention.
- Spam and abuse signals. Our forms record the time the form was displayed and submitted, use hidden fields that only automated bots fill in and check the email domain against known disposable-address services. We also apply a short waiting period between repeat submissions from the same email address. We do not use third-party CAPTCHA services.
Information from other sources
- Business contact data. We may receive your business contact details from referrals, public professional profiles, industry directories and business data providers so we can reach out about our services.
- Advertising platforms. When you interact with our ads or pages on Meta, Google, LinkedIn or similar platforms, those platforms give us aggregated reporting and, in some cases, your contact details if you submit a lead form on the platform.
We do not knowingly collect sensitive personal information such as government identification numbers, health information or precise geolocation through the Site, and we do not collect biometric identifiers or biometric information within the meaning of the Illinois Biometric Information Privacy Act. Footage we capture during a production is governed by the release or agreement for that production, not by this policy.
3. How we use information
We use personal information to:
- respond to your inquiries and discuss potential projects;
- deliver the resource you requested and send related follow-up emails, which you can stop at any time;
- scope, contract, produce, deliver and invoice our work, and maintain our business records;
- send marketing about our services and work, where permitted by law;
- operate, secure, debug and improve the Site, and understand how it is used;
- plan, run and measure our advertising on third-party platforms, including building audiences as described in Section 6;
- detect, prevent and investigate spam, fraud and abuse;
- comply with legal obligations, enforce our agreements and protect our rights, property and safety and those of others.
We do not use personal information to make automated decisions that have legal or similarly significant effects on you.
4. Legal bases
Where the law requires a legal basis for processing, for example for visitors in the European Economic Area, the United Kingdom or Switzerland, we rely on:
- performance of a contract or steps you ask us to take before entering one, such as answering an inquiry or delivering a project;
- our legitimate interests in running and promoting our business, securing the Site, preventing abuse and understanding our audience, balanced against your rights;
- your consent, where we ask for it, which you can withdraw at any time;
- compliance with legal obligations, such as tax and accounting rules.
5. How we share information
We do not sell personal information, and we do not share it with third parties for their own independent marketing. We share personal information only as follows.
Service providers
Companies that process information on our behalf, under contracts that restrict their use of it to providing services to us. At present these include:
- Vercel, which hosts the Site and processes server logs;
- Cloudflare, which stores and delivers the images, video and downloadable files on the Site;
- Google, for Google Analytics, Google Workspace email and documents, and YouTube video embedding;
- our internal operations platform, a privately hosted system run by our affiliated agency, where inquiries, signups, contacts, project records and automated email notifications are stored and managed;
- email delivery and marketing providers, used to send confirmations, resources and updates;
- accounting, invoicing, payment and e-signature providers, used for client and vendor billing, contracts and payments;
- file transfer, review and collaboration tools, used to deliver and review production work.
Advertising and social media platforms
As described in Section 6, we may provide hashed contact information to advertising platforms to reach our customers and contacts, or people like them, with our ads.
Affiliated businesses
RA Imaging is led by filmmaker Remsy Atassi and works alongside an affiliated marketing agency that operates our internal platform. We may share information with these affiliates for the purposes in this policy, and they are bound by it.
Professional advisers
Lawyers, accountants, insurers and similar advisers, where needed to run our business.
Legal, safety and business transfers
We may disclose personal information when we believe in good faith that it is required by law, subpoena or other legal process; to enforce our agreements; to protect the rights, property or safety of RA Imaging, our clients, our team or the public; or in connection with a merger, financing, acquisition, reorganization or sale of all or part of our business, in which case the recipient will be bound by this policy or one offering at least equivalent protection.
With your direction
When you ask us to, for example by requesting that we share your contact details with a collaborator, or by appearing in work we publish with your release.
6. Advertising and social media platforms
We promote our services and films on third-party platforms, including Meta (Facebook and Instagram), Google and YouTube, LinkedIn, TikTok and X. We use those platforms’ business tools, including their advertising APIs, audience tools and reporting, to run and measure our campaigns. In doing so:
- Customer list audiences. We may upload email addresses, and in some cases names, of our customers, contacts and subscribers to an advertising platform so it can show our ads to those people or to people with similar profiles. The data is hashed before it leaves our systems, the platform deletes it after matching and the platform does not use it for any other purpose. You can ask us at any time to exclude you; see Section 10.
- Site and engagement audiences. We may build audiences from people who visited websites we operate or who engaged with our pages, posts, videos or ads on a platform, within the windows the platform allows.
- Measurement. Platforms report campaign results to us in aggregate. Where a platform pixel or tag is installed on a website we operate, it is disclosed in that website’s own privacy notice. The Site does not currently load an advertising pixel; see Section 7.
- Platform data. We access platform data only through the official tools and permissions the platform grants, for our own advertising and page management. We do not sell, license or transfer platform data to third parties, we do not use it to build profiles for anyone else and we delete it when it is no longer needed or when the platform requires. If you want platform data we hold about you deleted, contact us using Section 15.
Each platform also processes your information under its own policy and gives you controls over the ads you see. For Meta, visit Facebook Ad Preferences or Instagram Ad Settings. For Google and YouTube, visit My Ad Center. For LinkedIn, TikTok and X, use the ad settings in your account.
7. Cookies, analytics and similar technologies
The Site uses a small number of cookies and browser storage:
- Google Analytics 4. We use Google Analytics to measure traffic and understand how visitors use the Site, including which pages they view and which links, buttons and forms they use. Google sets cookies and processes usage data on our behalf. We configure Google’s consent settings so that analytics storage is enabled while advertising storage, advertising personalization and advertising user data are disabled by default. Learn how Google uses data at policies.google.com/technologies/partner-sites. You can opt out of Google Analytics across all sites with the Google Analytics opt-out browser add-on.
- Proposal access. When you unlock a password-protected proposal page, we set a cookie, and in some cases a value in your browser’s local storage, that records the unlock so you do not have to re-enter the password. These contain no personal information beyond that record and expire with the proposal.
- Embedded video. Videos on the Site are embedded from YouTube in privacy-enhanced mode, which limits YouTube’s tracking until you press play. Once you play a video, YouTube may set its own cookies under Google’s policy.
- Essential operation. Our hosting provider may set cookies strictly necessary to serve the Site securely.
The Site does not currently load the Meta Pixel or other third-party advertising pixels. If we add one, we will update this policy before it goes live.
You can block or delete cookies through your browser settings. Doing so may affect some features, such as staying signed in to a proposal page. The Site does not currently respond to “Do Not Track” browser signals, because no common standard for them has been adopted. We honor Global Privacy Control signals where applicable law requires it.
8. How long we keep information
We keep personal information for as long as needed for the purposes described above, and then delete or anonymize it. In general:
- inquiry and signup records are kept while we have an active or prospective relationship with you and for a reasonable period afterwards so we can recognize returning contacts;
- client, vendor, contract and billing records are kept for the life of the relationship and for the period required by tax, accounting and limitation-of-claims rules, typically seven years after the last transaction;
- production releases and the footage they cover are kept for as long as the resulting work is in use or distribution;
- analytics data is retained according to our Google Analytics settings, currently up to 14 months for user-level data;
- server logs are kept for a short rolling period for security and debugging.
We may keep information longer where required to comply with a legal obligation, resolve a dispute or enforce our agreements.
9. Security
We use reasonable administrative, technical and physical safeguards designed to protect personal information, including encrypted connections (HTTPS) for the Site, access controls and secret management for our systems, and spam and abuse filtering on our forms. No method of transmission or storage is completely secure, and we cannot guarantee absolute security. Please do not send us sensitive information through the contact form. If you believe your interaction with us is no longer secure, contact us immediately using Section 15.
10. Your choices and rights
Marketing emails
You can stop marketing or follow-up emails at any time by using the unsubscribe link in any message or by emailing us. We will still send transactional messages about work you have engaged us for.
Advertising audiences
You can ask us to remove your contact details from any customer-list audience we use on an advertising platform. Email us with the address you want excluded.
Access, correction and deletion
You can ask us to tell you what personal information we hold about you, to correct it, to delete it or to give you a copy of the information you provided. You can also object to or ask us to restrict certain processing, and where we rely on consent you can withdraw it. We will verify your identity before acting and respond within the time the applicable law allows. We will not discriminate against you for exercising your rights.
State privacy laws
Residents of California, Colorado, Connecticut, Virginia, Utah, Texas, Oregon, Montana and other states with comprehensive privacy laws may have additional rights, including the right to opt out of targeted advertising, the sale of personal information or profiling. RA Imaging is a small business that may fall below the thresholds at which some of these laws apply. Regardless, we do not sell personal information, and we honor requests to opt out of targeted advertising audiences and to access, correct or delete personal information from residents of any state. You may use an authorized agent to make a request on your behalf; we may ask for proof of the agent’s authority.
Illinois
We are based in Illinois. We do not collect, use or store biometric identifiers or biometric information, and the Site does not use facial-recognition or voiceprint technology.
How to exercise your rights
Email info@ra-imaging.com with the subject line “Privacy Request,” or write to us at the address in Section 15. If you are not satisfied with our response, you may have the right to lodge a complaint with your local data protection authority or state attorney general.
11. Children
The Site and our services are intended for businesses and adults. We do not direct the Site to children under 18 and we do not knowingly collect personal information from children under 13. If you believe a child has provided us personal information, contact us and we will delete it. Minors who appear in our productions do so under a release signed by a parent or guardian.
12. International visitors
We are located in the United States and our service providers operate mainly in the United States. If you visit the Site or contact us from outside the United States, your information will be transferred to, stored and processed in the United States, where privacy laws may differ from those of your country. Where required, we rely on appropriate safeguards for such transfers, such as standard contractual clauses entered into by our service providers, or your consent.
13. Third-party sites and services
The Site links to other websites, including our social media profiles, our affiliated sites and the sites of clients and partners, and embeds content from YouTube. We are not responsible for the privacy practices or content of those sites and services. We encourage you to read their policies.
14. Changes to this policy
We may update this policy from time to time. When we do, we will change the effective date at the top of the page and, for material changes, give notice on the Site or by email where we have your address. Your continued use of the Site after a change means you accept the updated policy.
